The Manager of Finance and Accounting position is a hybrid role with the main focus of being the business partner for four entity leaders, supporting them with financial analysis and business insights but also responsible for the oversight of the monthly financials.  In this role you will be working with the local central accounting team to review and approve monthly financials and provide financial analysis and reporting in the areas of budgeting, forecasting, reporting, and analysis. Additional responsibilities may include monthly reports; monitoring and analyzing financial, statistical, and operational data trends; and special projects as requested.    The four companies are diverse and include construction trades, rental and supply and light assembly and manufacturing.

 

This individual will work with the VP of Finance and Business Leaders to translate strategy into actionable plans, leverage in-depth analysis to provide the story behind the numbers and respond to business changes with agility. They must be organized and be able to multitask. They must be a person who isn’t afraid to make decisions or delegate. This person will ultimately be responsible for being a strong partner to the business and producing accurate and timely financials.
 

Responsibilities:

  • Review and approve monthly, quarterly, and annual financial statements in accordance with internal and external reporting requirements
  • Become the financial business partner to the entity leaders. 
  • Process Improvement:  Identify and lead process improvement initiatives.  Assist on cross-functional teams, as required, to improve budgeting, analytics and financial reporting processes.
  • Budgeting and Forecasting:  Includes the preparation of appropriate analysis to support the development of financial guidelines as well as the development and implementation of financial planning schedules and procedures at all levels of the Company.  Review and analyze budgets, financial modeling, scenario analysis and periodic forecast to inform and make appropriate recommendations to management. 
  • Financial Analysis:  Provide financial and analytical support to internal customers. Review and analyze actuals versus budget.
  • Review and approve key general ledger account reconciliations.
  • Participate in various audits including annual year end audit, insurance, tax, and other various 3rd party audits
  • Financial Reporting: Support the development, implementation, and maintenance of comprehensive internal financial reporting package to support the monthly preparation of business financial statements. Work with ViewPoint - Vista, Power BI, Smart Sheets and Prophix. 
  • Translate business strategies, initiatives, and projects into effective financial modeling.
  • Act as Finance representative for cross-functional projects
  • Understand the business and information needs of business leaders and translate those needs into insights and analysis.
  • Work with Operations team and utilize data insights to help drive predictive operational behavior.

Knowledge, Skills and Abilities:

  • Bachelor’s degree in Finance, Accounting, or related field of study required.
  • 10+ years' relevant work experience in accounting, financial forecasting, reporting, and analysis required.
  • Experience in both finance and accounting roles
  • Ability to work in a fast-paced environment; excellent financial skills; expertise with financial reporting and analysis including balance sheets, profit and loss, return on asset and investment, metrics and measurements, etc.  
  • Strong skills in analytical tools including Excel, analytical tools such as Prophix or Hyperion and knowledge of business intelligence tools such as Power BI and Tableau.
  • Strong communication (oral and written), interpersonal, and organizational skills required. Must demonstrate ability to successfully interact effectively with leadership levels as well as other levels of the organization.
  • High level of initiative and critical thinking to formulate business issues into analytical problems and devise actionable solutions.
  • Comfortable working with large volumes of data and diligence when managing detail.
  • Time management and ability to complete work under tight deadlines.

Base Salary range: $150,000 - $180,00

Business Development Director, Science & Advance Technology

Business Development Director, Science & Advance Technology          Responsibilities:     
  • Provide Business Acquisition and Business Development acumen and leadership 
  • Lead business development meetings and initiatives
  • Develop strategy in conjunction with the BUL and PX to identify, qualify and force-rank clients and projects

Infrastructure Engineer

  • Oversee, optimize, and secure IT infrastructure using advanced monitoring tools and security measures, identifying and remediating technical disruptions to improve system reliability, scalability, and efficiency.
  • Design, build, maintain and improve infrastructure solutions addressing nonfunctional requirements like data protection, high availability, and disaster recovery.

    Assistant Superintendent

    Science San Francisco, California
    An Assistant Superintendent works with a large amount of autonomy to help manage all aspects of field operations on a project. They may work with a Superintendent on a larger project or may work independently on a smaller project and will demonstrate their knowledge of how to build and manage all facets of work in the field. An Assistant Superintendent will acquire and demonstrate a thorough knowledge of the plans, specifications, estimates, schedules, critical path elements and sequencing/phasing of the project. They play an active role in promoting XL’s safety culture and help to ensure that everyone on the project plans for, understands, and practices the highest level of safety performance. To be successful, they must be well organized, have excellent planning and problem-solving skills, and demonstrate their ability to motivate others toward accomplishing the work at hand. Responsibilities for this position include the following:
    • Develop, review and execute work plans for a variety of construction activities.
    • Lead subcontractor pre-installation meetings, construction of mock-ups and subcontractor site orientation activities.
    • Ensure project site and company assets are properly used, stored and secured.
    • Oversee the ordering, delivery, storage, tracking, and proper utilization of equipment and materials, including rental equipment.  Ensure monthly purchase/rental invoices are accurate and coded properly.
    • Ensure the accuracy of basic surveying, layout and field measurements – verify lines, corners, elevations, grades, alignments, angles, positions and distances.
    •  Act as the champion of XL’s Safety program on the job site. Facilitate safety pre-task meetings, enforce the job site safety plan and adherence to company safety policies.
    • Assist the Project Manager/Superintendent in providing regular reviews and updates of progress and cost reports, construction schedules and requirements for completion. Actively participate in OAC meetings.
    • Take responsibility for scheduling and coordinating all subcontractors and suppliers: including verifying insurance; verifying layout, materials and quantities; and tracking productivity and schedule compliance.
    • Investigate field coordination/conflict issues and make recommendations regarding resolution or submittal in a Request for Information (RFI). Support the RFI process by helping to develop and administer RFI’s.
    • Produce daily/weekly field observations including written reports (DCR’s) with progress photographs and summary.
    • Anticipate potential challenges/issues, work interference, schedule difficulties, etc., and bring possible solutions to senior level superintendents and/or project management.  Develop and implement corrective plans/actions.
    •  Schedule and manage the timely inspection of work throughout the building process.
    • Play a lead role in the administration and documentation required for the Quality Assurance Program as established for the project.
    • Schedule, supervise, track and document activities needed to resolve punch list items and proper turn over. 
    • Build and maintain positive, respectful relationships with all owners, subcontractors, owners’ reps, architects, engineers, suppliers, inspectors, and other employees assigned to the project.

     Knowledge, Skills and Abilities:

    • Journeyman Carpenter or B.S. in Construction Management, Engineering, or a related field.
    • 3-5 years of construction experience in Life Sciences/Technology, Education, Healthcare or Structures/Interiors/TI’s, within the Bay Area. 
    • Has a basic understanding of all trades, including MEP. Has some exposure to ground up construction or significant structural work.
    • Understands the building permit process.
    • Understands all Cal OSHA requirements for a construction site. Preferably has OSHA 30 training and is a Safety Trained Supervisor “STS”.
    • Organized, detail oriented, and with a systematic approach to achieve accuracy and efficiency 
    • Able to manage multiple tasks and make decisions under tight deadlines.

This person will be responsible (with the Project Manager) for the overall success.  The Senior Superintendent is a key participant in training XL employees and promoting company policy and procedures while providing the core leadership required to guide the project team and subcontractors to success. Responsibilities:

    Learning & People Operations Coordinator

    • Support the Learning and Development (L&D) Department’s activities by assisting with scheduling, preparation of materials, tracking of attendance, and system maintenance.
    • Support the People Operations Department by assisting in onboarding activities for new hires, facilitating a smooth transition into the organization for all staff.
    • Coordinate course assignment/invitation process, track attendance, course completion, and generate related reports. 
    • Responsible for data input, administration, maintenance, and reporting in HRIS, timekeeping, and L&D software systems. Will become a systems subject matter expert and point of contact.

      • Ensure project permits, inspections, tests and procurement activities are done well and don’t lead to schedule challenges. 
      • Develop and maintain positive relationships with project team(s), client's, owner’s representatives, design team, subcontractors, and others. Manage all OAC activities; including meetings and all other communication with these groups, to ensure positive, long-term relationships are maintained.

      • Perform and supervise all aspects of project management on more complex or multiple projects; including, all estimating, preconstruction activities, procurement, submittals, change orders, RFIs, budgeting, financial reporting, cost forecasting/management, billing, schedule adherence, quality control, turnover/close-out, etc. Successfully overcome challenges and resolve any issues the projects and/or teams presents.
      • Ensure project permits, inspections, tests and procurement activities are done well and don’t lead to schedule challenges. 
      • Develop and maintain positive relationships with project team(s), clients, owner’s representatives, design team, subcontractors, and others. Manage all OAC activities; including meetings and all other communication with these groups, to ensure positive, long-term relationships are maintained.
      • Ensure the effective use of available resources to increase efficiency and effectiveness of the team and the project(s); i.e. VDC, Sustainability, Lean practices, Bradley, SPW, XL Shop, etc.
      • Work collaboratively with Superintendent(s) and field management to plan, organize and direct site activities. Lead efforts to resolve issues or challenges in the field.
      • Supervise project staff and take responsibility for their training and development.
      • Champion XL culture & policies and procedures and demonstrate the highest level of ethics and professionalism.
      • Actively promote XL’s safety culture and practices. Provide insight and supervision for the development and maintenance of construction safety policies, procedures, and practices. Participate in project safety meetings and reinforce program objectives.

       Knowledge, Skills, and Abilities:

      • Bachelor’s degree in Construction Management, Engineering, or related field. 
      • 10+ years progressive experience strong project background in our core markets of Education, Science/Technology, Civic and/or Healthcare, including a project portfolio with key market clients, building types, and varied delivery methods. For this specific position, strong Healthcare experience in the Sacramento region is preferred.
      • Industry certifications/accreditation, including OSHA 10, LEED AP, and/or DBIA. 
      • Proficient with computer applications.
      • Knowledge of Viewpoint and/or Vista is a plus.
      • Ability to develop a detailed project schedule.
      • Solid understanding of the building permit process and of all trades, including MEP.
      • Experience leading and maintaining the highest-level in construction safety practices.
      • Strong interpersonal communication skills and proven ability to effectively lead teams.
      • Strong skill set as a builder and in project management, with a solid record of success.

      Schedule Manager

      Milpitas, California
      A Schedule Manager must have 15+ years’ progressive scheduling experience in technical construction projects.  This person is responsible for providing management and oversight of all aspects of the scheduling department under Field Operations and collaborating closely with VP of Field Operations, General Superintendents, Project Executives, Preconstruction, and project teams. The Schedule Manager will play a pivotal role in overseeing and managing the scheduling aspects of construction projects from pursuit through completion.   The person brings deep knowledge of scheduling, as well as how to develop, build and manage all facets of scheduling including lean pull planning. To be successful, they must be well organized, have excellent planning and problem-solving skills, and demonstrate their ability to motivate others toward accomplishing the work at hand.

      Responsibilities:

      • Oversee the scheduling department as well as manger the schedulers including the development of their skills.
      • Development of project schedules based on experience and historical analytics to collaborate with the project superintendent or project manager on development of schedules.
      • Regularly monitor and track progress against established schedules, identifying potential delays or issues and implementing corrective actions as necessary to keep projects on track.
      • Quality control of schedules produced by XL.
      • Proficient in construction scheduling software (Primavera P6, MS Project, Smartsheet, Procore) as well as any conversions of any schedules to P6.
      • Management of Multiple Project Schedules as part of Global all Project Dashboard and historical database.
      • Cost and resource loading schedules for Earned Value Analysis (EVA) productivity and trending analytics.
      • Variance reporting and project look ahead.
      • Developing and providing schedule training to others within the organization.
      • Provide scheduling assistance for pre-construction projects (RFP).
      • Assist project teams to ensure delays are adequately documented.
      • Excellent communication skills and experience working with clients and Bay Area scheduling consultants to review schedules, delays and maintain a positive relationship.
      • Strong analytical and problem-solving skills.
      • Ability to work effectively in a fast-paced, dynamic environment.
      • Develop what if contingency options with the team for recovery/accelerate schedule.
      • Development of innovative scheduling solutions and integration with other processes.
      • Run health checks and analytical analysis on P6 schedules.
      • Continuous improvement includes developing and maintaining standards of practices for the scheduling department such as methodologies, tools, dashboards, and practices to streamline operations and enhance efficiency.

      Knowledge, Skills, and Abilities:

      • Bachelor’s degree in a relevant industry and fifteen plus years of professional experience.
